Recommended Parental Consent Check Communications

Build parental consent check message templates to enable automated request emails, admin notifications, and follow-up reminders.

📌 Note: The screenshots and settings shown in this article may not match what you see in your own platform, as Rosterfy is highly customisable. If you need guidance specific to your setup, please contact our support team.

Before configuring parental consent automations, you must create the communications that power them. Parental consent requests are not sent automatically when a user submits parent or guardian details on a form. Instead, administrators must first build the required message templates so the system has content ready to deliver at each step of the process.

Setting up these communications ensures you can send the initial consent request to parents or guardians, notify administrators when a response is completed, and deliver follow-up reminders to both parents and candidates. Once all necessary messages are created, you can proceed to set up the automations that trigger them. See the Configuring Parental Consent Checks Automations article for more information.

Recommended Communications

When setting up communications for Parental Consent, we recommend using a combination of emails, in-app notifications, and SMS (if SMS is enabled for your account). At a minimum, you should set up both email and notification options to ensure messages reach candidates and parents or guardians reliably across all key stages.

We recommend setting up templates for the following key scenarios:

  • Requesting Parental Consent from the Parent or Guardian: Sent to the parent or guardian with a direct link to complete the consent form.

  • Parental Consent Completed Notification: Sent to administrators or candidates once a parent or guardian submits their response.

  • Parental Consent Reminder to Parent or Guardian: Sent to follow up with parents or guardians who have not yet submitted their consent form.

  • Parental Consent Reminder to Candidate: Sent to prompt candidates to follow up with their parent or guardian or provide updated contact details.

💡Tip: We recommend creating a dedicated Email & Notification category specifically for Parental Consent Checks (e.g., Parental Consent Checks) to easily organise and filter these templates in future configuration steps.

Mail Merge Tags to Include

When setting up your parental consent communications, use the following mail merge tags to automatically populate personalised details and secure submission links:

  • Parent/Guardian Name: *|bgc_parent_consent_name|*

Populates the full name of the parent or guardian provided by the candidate.

  • Parental Consent Form Link: *|bgc_parent_consent_form_link|*

Generates the unique, direct link allowing the parent or guardian to access and complete the online Parental Consent Form alongside any required questions.
